Your customers get an answer while you work.

We build and run the website, the calls, the email and the bookings for local businesses. You talk to the people who do the work.

Found on Google, booked from a phone

It shows up when someone nearby searches for what you do, and it loads on one bar of signal. Google found that 53% of mobile visits are abandoned when a page takes longer than three seconds to load. The booking form or quote request is built in and tested before launch.

Emergency line open 24 hours

It picks up when you can’t

The caller gets your greeting, then it takes their name, the address and what’s wrong. If your calendar has room, it books the job. Anything it can’t sort out reaches you as a message with the details.

Caller
Hi, my hot water tank is leaking. Can someone come today?
Receptionist
Sorry to hear that. We can get someone out this afternoon. What’s the address?
Caller
1140 Departure Bay Road, in Nanaimo.
Receptionist
Got it. Dana can be there at 2:10. Shall I book that?
Caller
Yes, please.

Call it now and try to book a plumber. It answers as Tidewell, our example business.

Calls are recorded and end after three minutes.

A call comes in at 9:14. Pick a time to see what happens next.

A call comes in

You’re under a sink, with a patient, or on the espresso machine. The phone rings anyway.

9:14

Answered, in your name

“Tidewell Plumbing, how can I help?” It takes the address and what has gone wrong.

9:15

Tuesday, 2:10 fits

It reads your calendar and offers the first slot that works. The caller says yes.

9:16

Booked for you

It books the job and puts the details on your phone. You don’t need to reply.

9:17

Back to work

The caller gets a text with the time. The details are waiting in your inbox when you’re done.

A 9 pm quote request, answered by 9:02

The reply is in their inbox before they close the laptop, with times taken from your calendar. If an email needs you, like a price it doesn’t know, you get it with a short summary on top.

Hi Megan, thanks for writing. We can look at the bathroom on Thursday at 10:30 or Friday at 1:00. Reply with the one you want and it’s booked. Tidewell Plumbing

Nothing moves until you say yes

When a customer asks to move or cancel, the request reaches you on WhatsApp first. Reply yes and the change is made and the customer is told. Reply no and nothing changes.

  1. Scheduler: Megan H. asked to move Thursday 10:30 to Friday 1:00. Move it?
  2. You: Yes
  3. Scheduler: Done. Megan has the new time, and Thursday 10:30 is open again.

Your site gets the same release process and the same daily checks.

Start with one

Start with the receptionist on the site you have, or with a new site, and add the rest when you want it. Each is a fixed price to set up, then a monthly plan.

  1. The receptionist

Answers your phone, the chat on your site and your email, and offers times from your calendar. It runs on the site and the number you already have.

  2. The website

A site that shows up on Google and takes bookings. We host it and look after it every month. Add the receptionist to it any time.

  3. The website and the receptionist

Both, built together, so the receptionist answers from the same facts your site shows.

  4. The scheduler

Added to any package with the receptionist. It keeps your book up to date, and nothing changes until you say yes on WhatsApp.

Before you ask

Anything else, email studio@quadbalance.com.

Yes. It works with the site and the phone number you already have, so there is nothing to rebuild. If you want a new site later, the receptionist moves to it.

It takes a message and sends it to you straight away: the caller’s name, their number and what they need. It answers from what you tell us about your business, and its answers are checked before a customer hears them.

Usually, yes. We connect to the booking system, calendar or till you already use and leave it where it is. Tell us what you run on the first call and we’ll say right then if there’s a problem.

Yes. We build online booking, quote requests, ordering and intake forms. If your business needs something custom behind the site, we build that too.

Most sites launch two to four weeks after our first call. The receptionist and the scheduler are set up in the same project, and we tell you up front if anything will take longer.

Yes. The domain is yours and so is everything on the site. If you ever leave, we hand over the files and the logins.

Every site is set up for local search: your Google Business Profile, the areas you serve and the details Google looks for. We don’t promise rankings, because nobody honestly can.

Yes. You tell us about the business on a call and we write it the way you’d say it. You approve every word before it goes live, and the receptionist answers from the same facts.

The monthly plan covers hosting, security updates, monitoring and edits. If something breaks, we usually know before you do.

Tell us what slips through

The people who would do the work read every message. We reply within one business day to set up a short call.
